Terms of Reference for Project Assistant

 

The Environmental Foundation (Guarantee) Limited (EFL) was established in 1981 as a non-profit public interest law group, with a mission to conserve and enhance the natural environment of Sri Lanka. Since its initiation, EFL has been actively involved in protecting and conserving the environment through mediation, litigation, and scientific investigations, research, and projects.

EFL is looking for a dynamic, competent and committed environmental enthusiast for the role of a project assistant. He/ she should be conversant with environmental science, ongoing activities of the environmental field of Sri Lanka, and preferably have experience assisting with projects or administrative work.

Duty Station: No. 171, Sri Gnanendra Mawatha, Sri Jayawardenepura Kotte

Commitment: Full time

Direct reporting lines: Project Officer, Head of Science

Duties and Responsibilities

Under the supervision and guidance of the Project Officer, the Project Assistant will have the following duties and responsibilities:

  • Provide administrative and operation support on implementation of project.
  • Supervising the project progress and ensure that all issues related to the project are clarified and completed to avoid confusion and interruption during execution.
  • Make arrangements for meetings, presentations, seminars and trainings organization under instruction of Project Officer and call the attention of the Head of Science to them where and when they are needed.
  • Assist in projects financial resources management, human resources management, efficient procurement and logistical services.
  • Maintain up-to-date files and records of project documentation.
  • Assist project officer with team and stakeholder communication and interactions.
  • Provide logistical support for workshops and other meetings as tasked by the project officer.
  • Support the timely preparation and submission of progress reports, donor reports, project reviews, financial reports, audit reports and any other required project reports.

Apart from specific activities of the above project, the Project Assistant is expected to help EFL Science Division in other relevant duties as assigned by the Head of Science.

Job Requirements
  • Bachelor’s degree or higher from a science stream background (preferably environmental stream).
  • Knowledgeable or be interested in environmental science sector in the country.
  • 1+ years of experience handling or assisting with coordination of tasks, coordination of events and workshops, commenting of reports/ publications, research and data compiling, or similar activities.
Experience and Skills
  • Thorough familiarity with word processing, spreadsheet, and project scheduling computer applications;
  • Strong drafting, presentation and reporting skills;
  • Acting as a team player and facilitating team work, communicating effectively, initiative-taking;
  • Excellent critical and creative thinking and analytical skills;
  • Excellent command of the English, Sinhala and/or Tamil language (verbal/written) and coupled with excellent communication and presentation skills.
